CHIEF REGISTRY CLERK: MEDICAL RECORDS

Job Overview

Tygerberg Hospital is seeking a Chief Registry Clerk to oversee medical records operations. The role involves supervising staff, ensuring data quality, managing folder destruction, and maintaining compliance with the National Archives Act, POPIA, PAIA, and PAJA. Candidates must have a Senior Certificate, relevant registry experience, and proficiency in information systems like Clinicom and ECM. The position requires strong communication skills, the ability to work under pressure, and knowledge of public service legislative frameworks. Shortlisted candidates will undergo a practical assessment.

Requirements & Qualifications

• Senior certificate (or equivalent).
• Appropriate experience in a Registry environment or Medical Records.
• Knowledge of Records Management procedures.
• Ability to capture data and operate a computer.
• Computer literacy.
• Good verbal and written communication skills.
• Knowledge of PERMIS/SPMS system.
• Working knowledge of the legislative framework governing the Public Service.
• Knowledge of storage and retrieval procedures.
• Familiarity with information systems such as Clinicom, ECM, and Microfilm.
• Knowledge of National Archives and Records Service of South Africa Act, 1996.
• Knowledge of Promotion of Access to Information Act, 2000.
• Knowledge of Protection of Personal Information Act, 2013.
• Knowledge of Promotion of Administrative Justice Act, 2000.

Key Duties & Responsibilities

• Ensure work processes within Medical Records are executed as per policies and protocols.
• Perform data capturing, batching of episode folders, filing, and retrieving of documents.
• Print appointment lists and manage finalisation.
• Control the scanning centre to ensure quality assurance of patient information.
• Manage the destruction/disposal of folders and x-rays according to Records Management Policy.
• Supervise medical records clerks, including leave administration and attendance registers.
• Conduct PERMIS reviews and manage HR-related matters for staff.
• Enforce discipline and ensure compliance with policies, procedures, and protocols.
• Plan and monitor in-house and external training for staff.
