ADMINISTRATIVE OFFICER: SUPPLY CHAIN MANAGEMENT SERVICES

Job Overview

An Administrative Officer position for Supply Chain Management Services is available at the Gert Sibande District. Candidates require a Grade 12 certificate plus an NQF 6 National Diploma or undergraduate qualification in Supply Chain Management, Finance, or a related field, alongside 1-2 years of related experience. Key competencies include knowledge of procurement, financial management, the PFMA, and transversal systems like LOGIS and BAS. Responsibilities encompass managing procurement, processing requisitions, handling supplier databases, ensuring compliance, and compiling reports.

Requirements & Qualifications

• Grade 12 certificate
• Recognised National Diploma or Undergraduate qualification (NQF 6) in Supply Chain Management, Finance, or a related field
• Minimum of 1-2 years related experience in Financial Accounting or a related field
• Knowledge of Financial Management
• Sound communication (written and verbal) skills
• Knowledge of procurement processes
• Knowledge of transversal systems (LOGIS and BAS) with at least one year of working experience on LOGIS and BAS
• Sound knowledge of the Public Finance Management Act (PFMA) and financial prescripts
• Ability to work under pressure
• A valid driver's licence

Key Duties & Responsibilities

• Manage the procurement of goods and services
• Process requisitions and purchase orders
• Manage suppliers, supplier databases, and support procurement activities such as sourcing quotes and managing bids
• Handle logistics, including receiving, verifying, and preparing tender/bid documents
• Ensure SCM compliance and accurate reporting, including receiving invoices via BPA and LOGIS systems
• Ensure all SCM activities comply with related legislation and policies
• Compile and submit reports on purchase requisitions, purchase orders, and other SCM data
• Follow up on outstanding invoices and ensure timely payment
• Respond to queries from internal and external clients
